Previously, the process relied on an Excel-based format for compiling, validating, and approving these proposals.

However, this manual approach presented a lot of challenges. Issues such as validation errors, version discrepancies, incomplete data, cumbersome approval workflows via email, absence of audit trails, and modifications post-approval were commonplace. To mitigate these challenges, the finance team dedicated resources for validating templates, ensuring accuracy, and managing communications—a process both labour-intensive and time- consuming, where even minor adjustments could disrupt the entire pricing structure.

Problem to Solve:

The objective was clear: to remove the manual complexities surrounding validations, version control,
access management, approvals, modifications, and submission protocols.

In response to these challenges, BiCXO implemented and designed a solution to automate the end-
to-end process of creating, validating, versioning, approving, and submitting pricing proposals.
Collaborating closely with the team, BiCXO’s functional consultants understood the existing Excel
format and pricing methodologies to create an automated workflow:

BiCXO developed a collaborative platform replicating the existing format for team collaboration.
 Created controlled access permissions, only one user could edit the template at a time, ensuring data integrity.

 Changes made to the template were automatically saved as drafts until finalized by clicking the submit button, thus preserving version history.

 Each submission constituted a distinct version, facilitating traceability and comparison.

 Access rights edit, submit, publish were customized to align with client requirements, ensuring data security.

 Email integration enabled direct quotation submissions from the platform, enhancing efficiency.

 Automated notifications for key milestones such as submission or publication were deployed, ensuring stakeholders remained informed.

 Leveraging analytics on historical data empowered users to formulate pricing strategies based on data-driven insights, enhancing decision-making.

Outcome:
